Company President’s Club Trip: A Seamless Event in Punta Cana

A seed corn-focused company located in the Midwest has a tradition of taking all its employees on a trip every five years as a token of appreciation for their hard work. This year, the destination was the beautiful Punta Cana in the Dominican Republic, where the employees had the pleasure of staying at the luxurious Secrets Cap Cana Resort.

Given the scale of the event and the concurrent responsibilities of their in-house planner, the company decided to partner with Fox World Travel for the first time to ensure a seamless experience. Our team was thrilled to assist in planning and executing this significant event.

Planning and Coordination

Our initial meeting with the company involved discussing their extensive budget and understanding their specific needs. The requirements included comprehensive hotel, transfer, and excursion management, along with full event planning services. This encompassed everything from meals, lighting, and entertainment to décor and even managing the flow of buffet lines during dinners.

With the necessary information in hand, we began coordinating with the resort and the Destination Management Company (DMC) to bring the vision to life. The event involved 380 attendees who stayed for seven days, occupying 75% of the resort.

Event Highlights

Throughout the week, we hosted eight group receptions and dinners, three employee meetings, and a variety of activities and excursions. Some of the highlights included:

• Awards Dinner/Ceremony and Farewell Dinner: These grand events were enhanced with additional décor, including centerpieces, flowers, and uplighting. Entertainment for the evenings featured DJs, live performers, and carnival characters. The highlight of the Farewell Dinner was an awe-inspiring drone show, which added a spectacular and memorable touch to the celebrations. The company had initially supplied only 5 of the 12 images for the drone show, but Fox World Travel seized the opportunity to enhance the performance by incorporating additional images as a surprise. The company was thrilled with this thoughtful addition!
• Beach Bag Painting Activity: This creative and relaxing activity was designed for the guests of the employees who were required to attend the employee meeting.
• Agricultural Tour: A tour designed for the company’s employees to learn about local planting practices.
• Excursions: Exciting activities such as ATV tours, catamaran tours, ziplining, dolphin encounters, and shopping tours.

Execution and Feedback

The success of this trip was a testament to the hard work and dedication of our team members: Angela Moreno, the Program Manager; Brianne Clark, the Operations Manager; and Heather Burke, the Program Coordinator.

The feedback from the attendees was overwhelmingly positive. Many expressed their gratitude during the event, and in our post-conference meeting, the company conveyed their immense satisfaction with our performance. The in-house planner particularly appreciated the opportunity to enjoy the trip without the usual stress of managing every detail.

Future Collaborations

The success of this trip led the company to request our assistance with their upcoming trip to Florida, scheduled for the following month. This continued partnership is a testament to the trust and confidence the company has in Fox World Travel’s capabilities.
